Executive / Project Assistant, Communications and Development

Project Bread connects people and communities in Massachusetts to reliable sources of food while advocating for policies that make food more accessible—so that no one goes hungry. To assist us in meeting our mission, Project Bread – The Walk for Hunger is seeking an Executive/Project Assistant to the Chief Advancement Officer (CAO)  to join our growing Development and Communications team.

Supervisor: Chief Advancement Officer

Salary Range: $55,000 - $60,000

 

The Role:  The Executive/Project Assistant works closely with the Chief Advancement Officer and functions as a key thought partner and strategic gatekeeper, anticipating needs and working to identify and implement changes that help advance the work of the Development and Communications team for the benefit of the organization and mission. This includes overseeing special projects to support fundraising and communications initiatives as well as administrative duties such as calendar and correspondence management.

You will join Project Bread at a period of tremendous growth and innovation, as the organization continues to respond to the hunger crisis, exacerbated by the COVID-19 pandemic. Project Bread is building on decades of experience and partnerships across the Commonwealth to permanently solve hunger by addressing its root causes. The successful candidate is extremely organized and a great communicator in writing and in “live” situations like meetings and events. You will be excited by the responsibility of representing the organization and our mission, often acting as the first point of contact that an individual, vendor, press, or organization has with Project Bread.  You understand that fundraising is essential to achieving the organization’s mission and bring an appetite to foster and maintain relationships with people of diverse backgrounds and experiences. You will be energized by the dynamic nature of Development and Communications work, as external factors frequently require the team to change priorities and react quickly to what is happening in the media, government, and nonprofit sector. The right candidate should be passionate for the work we do and be interested in expanding their knowledge of federal and state anti-hunger programs and policies. They will hold a strong work ethic, and the ability to work independently. The Executive/Project Assistant will join and contribute to a strong and energetic team of Development and Communications professionals executing complex campaigns and engagement strategies for a variety of audiences. This role is responsible for essential organizational and administrative duties and the coordination of various team initiatives.

Primary Responsibilities:

Executive Support

  • Provide administrative support to the CAO
    • Facilitate effective and timely internal and external communications, often acting on behalf of the CAO.
    • Act as a liaison to teammates, donors, partners, and others on priority initiatives. Includes checking messages, briefing projects, acknowledgement letters, personal correspondence, and other tasks.
    • Manage and prioritize the calendar and all scheduling for the CAO.
    • Track engagement with Project Bread’s financial supporters in Raiser’s Edge database.
    • Support cultivation and stewardship of VIP relationships with financial supporters, media, nonprofit partners, and vendors on behalf of CAO.

 

Project coordination

    • Work cross-functionally to lead coordination of project deliverables with a hands-on approach, including managing timelines and supporting both internal and external information sharing.

Organizational Responsibilities:

  • Participate in the annual Walk for Hunger, which includes working as event staff the weekend of the Walk, and attending pre-Walk events.
  • Participate in organization-wide events and meetings.
  • Act to promote, sustain, and grow Project Bread’s positive, productive, and inclusive working environment.

Qualifications:

  • Minimum of 3-5 years of experience in a professional environment preferred.
  • Impeccable attention to detail, strong prioritization skills, and ability to multi-task and change priorities quickly.
  • Excellent communication skills including writing, speaking, and actively listening.
  • Effective and comfortable working on several projects simultaneously.
  • High level of interpersonal skills, self-possession and maturity are a must.
  • Must be able to work independently and proactively.
  • Must be able to communicate and work well with others.  
  • Strong relationship building and relationship management skills.
  • Technical proficiency in Microsoft Office, Outlook.
  • Experience with Raiser’s Edge or similar relationship management system is an asset. 
  • Bilingualism is an asset.
  • Personal commitment to preventing and ending hunger in Massachusetts.

 

 

All employees are currently working remotely and will not return to the office until it is safe to do so. At that time, the Executive/Project Assistant position will eventually build to being in-office 1-2 times per week.
