Child Nutrition Program Associate

Supervisor: Director of Child Nutrition

Salary Range: $50,000 - $55,000

The Role:

The successful candidate for this role will possess excellent organizational, communications, and data management skills. They will ensure the success of the Child Nutrition Outreach Program’s work through essential organizational and administrative duties and the management of child nutrition program data.

Primary Responsibilities:

Ensures administrative and organizational efficiency for the Child Nutrition team

  • Coordinates ordering and inventory of materials for the program, including office supplies and outreach materials.
  • Manages contact database including input and cleanup of database.
  • Processes and tracks invoices throughout the fiscal year.
  • Fulfills all School Breakfast Program and Summer Eats material requests
  • Coordinates and tracks material mailings, including tracking outreach material data for reporting
  • Handles all general program requests received through email and phone and triages as necessary.
  • Schedules meeting rooms and takes minutes during weekly team meetings.

Manages School Breakfast Program and Summer Eats program data provided by the Department of Elementary and Secondary Education (DESE)

  • Maintains and routinely updates School Breakfast Program and Summer Eats participation data from DESE to enable the Child Nutrition Outreach Program to track participation in Massachusetts communities
  • Disseminates data to team and organization when requested
  • Ensures the statewide map of Summer Eats meal sites is kept updated using data provided by DESE

Manages Child Nutrition Outreach team tracking and reporting

  • Manages the Child Nutrition Outreach Program monthly reports and annual outcomes report, ensuring accurate reporting and creation of an executive summary
  • Closely tracks team metrics for organizational monthly and annual reporting
  • Builds online surveys to evaluate the team’s work, compiles, analyses and summarizes survey data

Manages the planning of an annual conference for Summer Eats sponsors and partners

  • Works with outside vendors to secure event space and coordinate logistics for event (virtual logistics using webinar software if necessary)
  • Project-manages the planning of the conference for all team members
  • Evaluates success of the conference and coordinates team feedback for improvement

Helps maintain Child Nutrition online grantmaking system

  • Builds online application and report forms in the system
  • Tracks grant application and report submission in the system
  • Assists Director and team with grant scoring/review and grant-related communications
  • Participates in trainings on grantmaking system, as needed
  • Summarizes grant final reports to understand grantee projects and improve future grant cycles

  • Experience with administrative work
  • Excellent interpersonal and communication skills
  • Strong writing skills, including comfort with producing written summaries and reports
  • Ability to multi-task and pay close attention to detail
  • Strong time management skills and ability to keep group projects on timeline
  • Ability to work independently and as part of a team
  • Ability to manage several projects simultaneously
  • Strong data management skills, including comfort with manipulating large datasets
  • Strong computer skills; comfort with Microsoft suite, Google suite, (knowledge of grantmaking software and/or experience with Tableau a bonus)

Project Bread employees are currently working remotely or in a hybrid capacity and will not return to the office full-time until it is safe to do so. The Child Nutrition Program Associate will need to be present in the East Boston office on a periodic basis to handle essential administrative functions, with the rest of the work able to be done remotely for the time being.

The Project Bread office is in East Boston. While there are various types of remote, hybrid and office-based positions, all staff are expected to occasionally be in the office.
